PI means pro forma invoice. Chinese suppliers often send a PI after quoting, asking the buyer to pay a deposit, arrange import steps, open a letter of credit, or confirm the order.
A PI looks like an invoice, but it is not a full contract and not the same as a commercial invoice. It is an important transaction document, but it does not automatically solve entity, quality, breach, and dispute issues.
The short definition
The U.S. International Trade Administration describes a pro forma invoice as a quotation in invoice form . It may be used for import permits, pre-shipment inspection, letters of credit, or fund-transfer arrangements.

A typical PI lists the seller, buyer, goods, quantity, unit price, total price, weights and dimensions, payment terms, Incoterm, estimated shipping date, and validity period.
Those items are useful. They are not the whole deal.
PI vs commercial invoice
A PI usually appears early in the transaction. It tells the buyer what the supplier is willing to supply, at what price, and on what basic terms.
A commercial invoice usually appears at export and import clearance stage. It is a key document for customs valuation, duty assessment, and import paperwork.
In simple terms, the PI is closer to a pre-payment quotation and order confirmation. The commercial invoice is closer to the formal trade document used for shipment and customs.
What a PI can prove
A PI can prove that the parties discussed specific products, quantities, prices, payment terms, and timing. In a dispute, it may be evidence of the order .

A contract is formed when the confirmation is signed or the order is submitted and accepted (Art. 491).
Its evidence value is stronger if it clearly states the supplier name, bank account, product specifications, delivery timing, and payment terms, and if the buyer paid against it and the supplier confirmed production .

Keep the original account and device, not only screenshots.
But a PI is often incomplete. It may not include detailed quality standards, inspection rights, breach consequences, dispute resolution, governing law, confidentiality, or IP terms.
When a PI is not enough
A PI is not enough for larger orders.
It is not enough for custom goods, molds, design files, private tooling, OEM or ODM production, or products with complex quality standards.
It is not enough if the supplier asks payment to a personal account, Hong Kong account, or third-party account without a written structure.
Term Payee account check
The payee should be the contracting company’s own corporate account, matching its registered Chinese name. Verify the entity on the official enterprise credit systemwww.gsxt.gov.cnwww.gsxt.gov.cn before paying.
It is also not enough if delivery, inspection, refund, breach consequences, and dispute resolution are missing.
The bottom line
A PI is common and useful in China sourcing. The problem is not using it. The problem is assuming it has already solved every legal and transaction risk.
Before payment, confirm who the seller is, who receives money, whether product specifications are clear, whether the payment terms are reasonable, and whether you need a PO or formal contract.
